What personal data do we process? And for what purposes?

We process the data that you have sent us in connection with your application to check your suitability for the position (or other vacant positions in our companies, if applicable) and to carry out the application process.
 

What is the legal basis for this?

The legal basis for processing your personal data during this application process is primarily Section 26 of the German Federal Data Protection Act in the version valid from 25 May 2018. This permits data processing insofar as is necessary for decision-making with respect to establishing an employment relationship.

Should the data be necessary for legal prosecution once the application process is complete, data processing may be carried out based on the prerequisites set down in Art. 6 of the GDPR, particularly to safeguard legitimate interests under Art. 6 (1) (f) of the GDPR. Our interest then involves asserting or defending claims.
 

How long is data stored for?

Applicants’ data shall be erased after six months in the event that they are rejected.

In the event that you have agreed to further storage of your personal data, we shall transfer your data to our pool of applicants, where the data shall be erased after two years.

If you have been awarded a job during the application process, the data from the applicant data system shall be transferred to our personnel information system.
 

What recipients is the data disclosed to?

We use a specialised software provider for the application process. The latter shall act as a service provider for us and may also obtain knowledge of your personal data in connection with maintaining and servicing the systems. We have concluded what is known as a ‘processing contract’ with this provider, which ensures that data processing is carried out in a permissible manner.

Your applicant data shall be reviewed by the HR department following receipt of your application. Suitable applications are then forwarded internally to the department managers responsible for the vacancy in question. Then, the further procedure is coordinated. Within the company, only those individuals who require access to your data to properly implement our application process have access to your data.
 

Where is the data processed?

The data is processed exclusively on servers and in data centres in the Federal Republic of Germany.
 

Your rights as a ‘data subject’

You have a right of access to information about the personal data we process about you.

If you make an access request that is not in writing, we ask for your understanding that we may then request proof from you that you are indeed the person you say you are.

You also have a right to rectification or erasure, and to restriction of processing, insofar as you are entitled to the same by law.

You further have a right to object to processing in the context of legal requirements. The same applies to a right to data portability.
